How to Source Small Appliances from China

Start with the buying brief, not the lowest quotation

A useful small-appliance inquiry describes the product the buyer intends to sell, the destination market and the decisions that are still open. Sending a photograph alone leaves room for suppliers to quote different motors, heating systems, accessories or packaging under a similar-looking housing.

Create one reference sheet for each shortlisted product. Record its supplier model, images, intended use, capacity definition, rated electrical configuration and included accessories. Where a field is unknown, mark it for confirmation instead of copying a value from a visually similar model. Keep the original supplier file alongside your comparison sheet.

• State your buyer type and sales channel: importer, distributor, wholesaler or private-label brand.
• Give an initial order quantity and the expected mix of models or colors.
• Identify destination voltage, frequency, plug and packaging languages for confirmation.
• Separate essential requirements from optional features and future customization.

Make the supplier and sourcing partner responsibilities explicit

Ask which company will manufacture the selected product, which company will quote it and who will coordinate samples, inspection and shipping documents. A trading or sourcing partner can help compare factories and manage communication, but this is not the same as owning the production facility.

Use the same comparison fields for every supplier

Approve a documented sample before freezing the order

Agree what the sample is intended to prove. An appearance sample can support a color or logo discussion without proving the electrical performance of the final version. Record the sample identifier, photographs, nameplate information and any deviations from the quotation.

Evaluate the intended accessories and packaging as well as the appliance. For a blender, this might include the supplied jar, grinding cup and tamper. For a kettle, confirm the body and base combination. Functional and electrical safety assessments should be handled through suitable suppliers, inspectors or qualified laboratories, not inferred from a successful demonstration.

Set the release and documentation checkpoints

Before production, agree the approved specification, artwork revision, inspection scope, change-approval process and the party responsible for each decision. If the supplier proposes a replacement component or material, review the effect on the sample, labeling and available documentation before accepting it.

Before shipment, reconcile model and quantity information across the order, packing list, inspection records and commercial documents. Ask the importer, forwarder and relevant specialists to confirm destination requirements. A sourcing checklist helps organize the work; it does not guarantee certification, customs clearance or delivery.

• Keep an approved sample and specification revision linked to the order.
• Record unresolved items, responsible people and approval status.
• Confirm cartons, shipping marks and accessory counts before release.
• Agree after-sales parts and issue-reporting arrangements in writing.
